Privacy Policy

This Privacy Policy explains what personal information Theolotree collects, why we collect it, how we use and protect it, and the choices and rights you have. Please read it alongside our Terms of Service.
1. Who we are
Theolotree is a product of, and operated by, Skillful Antics, LLC (“Theolotree,” “we,” “us,” or “our”). Theolotree is a multi-church platform: each church that uses Theolotree manages its own lessons and members. Your church and Theolotree (multi-church)
The church you join directs your participation in that church: it decides which lessons you see and manages its member roster. Theolotree provides and operates the platform on each church’s behalf for that church-directed activity, and is responsible for the core account data we need to run the service for you (your sign-in identity, your account settings, and security). Your data is never shared between churches by Theolotree.
Where we offer the Service. Theolotree is offered for use in the United States only. We do not target, offer, or direct the Service to users in the European Union, the United Kingdom, or elsewhere outside the United States. Theolotree is doing a slow church rollout. 2. What we collect, and why
We deliberately collect very little. We do not require your real name, and we never ask for your phone number or address.
- Email address. Proven when you sign in (with an email and password, or with Sign in with Apple or Google). We use it to sign you in, to verify your address, to recover your account, and to contact you about the service (for example, a verification or password-reset email).
- Display name. A name you choose. If you sign in with Apple or Google and your account shares a name, we use it as your starting display name and keep it with your account; otherwise you type one. Either way, you can change your display name at any time in Settings. It is shown as your name in the app and will be visible to your church’s administrators. It is checked for length and shape and is moderated.
- Age-eligibility decision. We ask your date of birth once, only to confirm you meet the age requirement below. We keep the yes/no eligibility decision. We do not store your date of birth.
- Learning activity. Your lesson completions, experience points (XP), streaks, review schedule, which church or churches you belong to, and your time zone (so streaks land on the correct day), so your progress is saved and follows you across devices.
- Your answers to lesson questions. For each question you answer, we keep which question it was and whether you got it right or wrong, so we can populate a helpful daily review.
- Friends and encouragement (16 and up). If you use the optional Friends feature, we store your friend connections within your church, the preset encouragements you send or receive, cooperative-challenge participation, and any blocks or reports you make. Friends is limited to users 16 and older, and has no open messaging or public directory.
- Records of your agreement. When you accept these Terms and our Privacy Policy, we keep a minimal record: the version you agreed to, the date and time, and which sign-in method you used. It contains no other personal details.
- Technical and security data. When you use the app, our providers (Supabase and Vercel) automatically receive standard technical information such as your IP address and device or browser type, used to deliver and secure the service and prevent abuse. We do not use it to build advertising profiles.
What we do not collect. We do not run advertising trackers and we do not build advertising profiles.
Sensitive information. Because the church you belong to, and what you study, can indicate your religious beliefs, we treat your church membership and your learning activity (including your lesson answers) as sensitive: we use them only to operate the Service, never for advertising, and we never sell them. We do not use them to infer or record what you believe, and we never build a profile of your religious knowledge.
3. How we use your information
- To create and operate your account and sign you in.
- To save and sync your learning progress across your devices.
- To show you the lessons your church publishes and to keep your churches separate.
- To keep the service secure, prevent abuse, and enforce our Terms.
- To contact you about the service, and to respond when you contact us.
4. Use of AI in authoring lessons
Lessons may be drafted with the help of AI as a tool for church administrators. For how this works and how we keep watch, see How we use AI.
5. Service providers (sub-processors)
We use a small set of trusted providers to operate Theolotree, including Supabase (sign-in and identity, database, storage, backend), Apple and Google (sign-in), Vercel (hosting), Google Workspace (support email), Anthropic (AI assistance for administrators authoring lessons), and Sentry (error monitoring).
6. How we share information
We do not sell your personal information, and we do not “share” it for cross-context behavioral advertising. We disclose information only as follows:
- With your church’s administrators. An administrator of a church you belong to can see that church’s member roster, which includes your display name, your email (used so they can identify the right person), your role, and your join date, plus aggregate, non-identifying activity totals for the church (such as total lessons completed). They cannot see your answers, your review history, or how you did on any individual question.
- With our service providers, listed in section 5, to operate the service.
- For legal reasons, if required by law, or to protect the rights, safety, or property of users, the public, or Theolotree.
- In a business transfer, such as a merger or acquisition, in which case we will notify you.
7. How we protect your data
Connections to the app are encrypted in transit (HTTPS/TLS). Your data is stored with our database provider (Supabase) on secured, industry-standard cloud infrastructure that encrypts data at rest, and we apply row-level access controls so each account can reach only its own data.
8. How long we keep it
We keep your account data for as long as your account is active. When you delete your account (section 9), we erase your personal data from our systems and our identity provider promptly. We may retain limited records where the law requires, and routine technical logs and backups age out on their normal cycle.
9. Your rights and choices
Depending on where you live in the United States (for example, under the CCPA/CPRA in California), you have rights over your personal information, including the right to:
- Access the personal information we hold about you and know how it is used.
- Correct inaccurate information (for example, you can edit your display name in Settings).
- Delete your account and personal data. You can do this yourself, anytime, from Settings → Delete Account. Deletion erases your records from every place we store them and removes your sign-in identity, so it cannot be used to sign back in. We may keep limited security or audit records as described in “How long we keep it.”
- Export a copy of your data in a portable format on request.
- Object to or restrict certain processing, and (where applicable) withdraw consent, without affecting processing already carried out.
- Non-discrimination – we will not treat you differently for exercising these rights.
To exercise a right, use the in-app controls or email us at support@theolotree.com. If your request concerns your participation in a specific church, we may coordinate with that church.
10. Children and age requirement
Theolotree is for people who are 13 or older. A neutral date-of-birth check runs once, right after you sign in. We do not knowingly permit anyone under 13 to use the Service: if you tell us you are under 13, we immediately sign you out and delete the sign-in account that was just created, so your email is not retained and no profile or learning data is ever stored. We do not store your date of birth, only whether you met the requirement. Because we do not knowingly admit anyone under 13, the service is not directed to children under the U.S. Children’s Online Privacy Protection Act (COPPA).
11. Cookies and local storage
Theolotree does not use advertising cookies. We use only what is necessary to run the app: your browser or device keeps your sign-in session, your app settings, and an offline cache (a service worker) so the app loads quickly.
12. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you in the app or by email. Continuing to use Theolotree after a change means you accept the updated policy.
